Set up the day
Confirm the correct site and service date. Make sure the team knows which checks and records are expected and who is responsible for each part of the shift.
Record work when it happens
Enter measured readings and completed checks at the time the task is performed. Add useful context so another person can understand the record without having to reconstruct the shift.
Make exceptions visible
A completed form does not necessarily mean the issue is resolved. Keep the original record, describe what needs attention and identify the follow-up action.
Review and close the loop
Give the manager a regular point in the day to review the work. Record their decision and any next action, then check the outstanding items at the next handover.
Improve the routine
Review recurring faults and checks that are often missed. Adjust the operating process and responsibilities rather than simply adding more forms.
