Map a real working day
Write down what happens before opening, during service and at closing. Include who completes each task, who reviews it and where the record ends up. Repeat the exercise for onboarding and weekly rota planning.
Choose the first problem to solve
A focused rollout is easier to evaluate. Decide whether your biggest problem is chasing staff documents, finding completed checks or reviewing shift coverage. Set a clear outcome for that first workflow.
Ask for a demonstration using your process
Use a realistic example: an incomplete starter record, a recorded fault or a shift that conflicts with availability. Check what the team member sees and what the manager can do next.
Check the boundaries
Ask which features are available, which depend on configuration and which are proposed. Confirm connectivity requirements, access, exports, support and commercial terms before committing.
Agree how you will assess the trial
Choose a small set of measures you can observe: missing information, unresolved follow-ups and time spent checking a rota. Compare the process before and after using the product.
